This policy applies when the ASHS is acting as a data controller with respect to personal data of members of the congress; in other words, where we determine the purposes and means of processing that personal data. Information you provide by filling in forms on our website may include your title, name, affiliation, academic field, job title, email address, postal code, and telephone number. We may use the information you provide for the following purposes:

Registered Users
The Society collects user information when individuals complete the online membership registration procedures on the Society’s website, when they submit manuscripts to any of the Society’s journals, or when they register to participate in the international conferences organized by the Society. Based on this information, individuals are registered as members of the Society (with no admission fee or annual membership fee), and email notifications and communications related to the Society’s activities are sent to them.
How long do we keep the information we collect?
We keep your personal information for as long as necessary to fulfil our obligations to you and to protect our legal interests or as otherwise stated to you when such data is collected.
Security
We recognize the importance of handling personal information with great care. The web tools used for online membership registration, manuscript submission to the journals published by the Society, and participant registration for the international conferences organized by the Society—such as Editorial Manager®, Peatix, SECURE FORM, PayPal, and other web tools used as necessary—are managed securely in accordance with the privacy policies of each service provider, which are verified at the time of their introduction for use in the Society’s operations.
The Society makes every effort to protect personal information and does not use it for purposes other than those related to the Society’s activities, nor does it disclose such information to third parties without authorization. However, the security of data transmitted to the Society must be undertaken at the responsibility of the individuals who send it.
