If you have not yet registered for the society, we kindly ask you to first complete your registration as a member of the Asian Society of Human Services (ASHS). Membership registration is free of charge. As a member, you will receive information regarding our academic conferences and journals.

1. Congress Overview

2. Participation Application

  • All participants, including presenters, must complete the Attendance Registration Form. Please ensure that you provide a valid and regularly checked email address at the time of registration. Important announcements and updates regarding the congress will be sent to the registered email address prior to the event.
  • Please complete the online form and proceed with the payment according to the instructions provided after submission. Alternatively, you may also make your payment using the payment link below.
  • Presentation applications can be submitted via the Presentation Entry link provided in the confirmation email you will receive upon completing your conference registration. If you wish to present, please be sure to complete your registration in advance.
  • On the day of the congress, please proceed to the registration desk at the venue upon arrival.

3. Registration Categories and Fees

  • Please note that the payment method for the participation fee and the banquet fee has been changed from bank transfer to payment via PayPal. Credit card payments are also accepted through PayPal. As this differs from previous events, please make sure to use the correct payment method.
  • Kindly proceed with the payment using the appropriate link below according to your selected registration category and whether you will attend the banquet. The banquet fee is separate from the conference registration fee. The participation fee for the banquet is 3,000 JPY.
  • The payment deadline is June 30, 2026 (Tuesday)Your registration will be considered complete only after payment has been confirmed. Please ensure that all procedures are completed by the designated deadline.
  • Student*: Applicants registering under the Student category must upload a valid student ID or other official proof of student status at the time of registration.
  • Okinawa IN-Child Research Association Member**: Applicants selecting this category will have their membership status confirmed after registration. The Secretariat will share the necessary information with the designated representative of the association to verify affiliation.
  • Please note that payments are non-refundable once completed.
  • As a general rule, the PayPal transaction record will serve as proof of payment for the registration fee. To simplify and streamline administrative procedures, the issuance of separate receipts is limited. We appreciate your understanding.

*Optional Add-ons: Participants who have already paid the conference registration fee only (JPY 15,000 or JPY 5,000) and would like to additionally attend the banquet may use the PayPal link below to pay the banquet fee of JPY 3,000 separately. This option is only for participants who paid the registration fee without the banquet. Please note that those who have already paid the combined registration and banquet fee must not make this additional payment, as it would result in duplicate payment.

4. Presentation Entry

  • Presentation applications can be submitted via the Presentation Entry link provided in the confirmation email you will receive upon completing your conference registration. If you wish to present, please be sure to complete your registration in advance.
  • In addition to “A. Main Conference,” the congress will also host “B. Thematic Sections.” Those who wish to present are advised to carefully review the scope, guidelines, format requirements, and presentation methods of each conference or section before submitting their application. Please select the most appropriate category according to the content and format of your presentation.
  • “A. Main Conference” and “B. Thematic Sections” will be held at different time slots. However, within “B. Thematic Sections,” the two sections will be conducted simultaneously. Therefore, applicants who wish to give a presentation are advised to carefully consider their selection, as it will not be possible to present in both sections scheduled at the same time.
  • All registered participants are welcome to attend any sessions, including both the Main Conference and Thematic Sections. Only those who have submitted a presentation application in advance may give a presentation; however, all participants are welcome to take part in discussions and Q&A sessions.
  • Please note that, regardless of whether your application is for the Main Conference or a Thematic Section, oral presenters will be designated by the conference committee based on the content of the submitted abstracts. Notifications will be sent individually to those selected. Kindly understand that even if you apply for an oral presentation, your submission may be accepted as a poster presentation.

The presentation application form will be sent only to those who have completed the conference registration. If you complete the participation registration first and submit the presentation application at a later date, please be sure to review the automatic confirmation email sent at the time of registration. The necessary information regarding the presentation application is included in that email.

A. Main Conference

  • The presentation formats for the Main Conference are either Oral Presentation or Poster Presentation. Please select your preferred presentation format at the time of application.
  • Applicants must download the designated Abstract Form for the Main Conference and complete all required sections in accordance with the guidelines before submission.
  • The abstract must be prepared in strict accordance with the designated Abstract Form template, and all required fields must be completed. The entire abstract should be written in English. The main body of the text must not exceed 800 words, excluding figure and table titles as well as labels. A maximum of three figures and/or tables may be included. Please provide no more than five keywords. The file must be submitted in Microsoft Word format (.doc or .docx) and should not be converted into PDF format before submission.

Oral presentation
  • Please prepare your presentation in PowerPoint format. There is no required template; however, the entire presentation must be written in English and must include the conference title, presenter’s name, and affiliation.
  • Each presenter will have 20 minutes for their presentation. An additional 20 minutes will be allocated for Q&A between every two presentations. Please note that the schedule may be slightly adjusted depending on the number of presentations. All presenters are expected to strictly adhere to the designated time.
  • Due to interpretation arrangements, presentations and Q&A must be conducted in either Japanese or Korean.
  • Presentation files will be collected in advance and compiled by the Secretariat. Therefore, presenters are required to submit their PowerPoint file to the Secretariat by the designated deadline. However, as a precaution, please also bring your presentation data to the venue on a USB flash drive or similar storage device on the day of the conference.

Poster presentation
  • Posters should be prepared either in A4 size (up to 20 sheets) or in A0 size (approximately 900*1200 mm).
  • There is no required template; however, the entire poster must be written in English and must include the conference title, presenter’s name, and affiliation.
  • Please mount and remove your poster within the designated time. Posters that are not removed after the closing ceremony will be discarded.
  • The poster presentation session is scheduled to last approximately 60 minutes. Please remain in front of your poster during this time.

B. Thematic Sections

  • Within “B. Thematic Sections,” the two sections will be conducted simultaneously. Therefore, applicants who wish to give a presentation are advised to carefully consider their selection, as it will not be possible to present in both sections scheduled at the same time.
  • The presentation formats for the Main Conference are either Oral Presentation or Poster Presentation. Please select your preferred presentation format at the time of application.
  • Applicants must download the designated Abstract Form for the respective Thematic Section and complete all required sections in accordance with the guidelines before submission. Please note that each Thematic Section has its own specific application form, and applicants must use the appropriate form for the section to which they are applying.

CRAYON Section

  • This section is dedicated to practical case presentations in early childhood education and care using the CRAYON BOOK.

IN-Child / C3 Section

  • This section features presentations of educational practice cases utilizing the IN-Child Record and Scale C3.

5. Cancellation Policy

  • Cancellations must be made in writing via email [email protected].
  • Please note that payments are non-refundable once completed.

6. Certificate of Participation / Visa Support

  • Certificates and official documents will be issued upon request.
  • If you require an official invitation letter for visa purposes, please contact the secretariat after completing your registration.

7. Important Notes for Participants

  • During oral presentation sessions of the Main Conference only, AI-based automatic interpretation will be projected on screen. Please note that interpretation support is provided exclusively during official oral presentations in the Main Conference.
  • For communication outside Main Conference oral presentation sessions, including poster sessions, Thematic Sections, and informal discussions within the venue, participants are requested to use their own interpretation applications or tools as needed.
  • Lunch will not be provided by the organizers. Participants are asked to arrange their own meals or dine at nearby restaurants.
  • Food and beverages are permitted inside the venue. However, please follow the venue’s regulations regarding waste disposal.
  • Advance registration and payment are required. On-site registration and cash payment on the day of the congress will not be accepted in principle.
